Please suggest additions or corrections. If there aren’t any, I hope Dr. Wache will ask for the minutes’ approval and publication to the vice president of learning and the college. Student Services Committee Meeting April 2, 2010 9:00am Whitfield Classroom Building—room 212 Those present: Chairperson Susanne Wache, Elizabeth Dugal, Helen Griffith, Valerie Lewis, Richard Carter, and Scott Larkin. Dr. Wache called the meeting to order at 9:05am and presented the committee’s most pressing matter of business, the organization of the student recognition ceremony slated for 6:00pm May 7, 2010, in the west campus gymnasium. Dr. Wache and the committee agreed on the following assignments: 1. Sending invitations to the college board of trustee members and students receiving recognition—Helen Griffith. 2. Coordinating the reception food, table set up, and refreshment serving—Valerie Lewis and Roslyn Nipper. 3. Sending a work order to the physical plant for the reception’s setting up of platform, tables, seats, and podium—Valerie Lewis. 4. Ordering certificate paper and sleeves through Ann Southall—Valerie Lewis. 5. Creating the ceremony program—Susanne Wache. 6. Printing certificates and placing them in sleeves—Scott Larkin. 7. Asking librarian Thomas Johnson to provide the audio for the ceremony—Susanne Wache. 8. Asking Victoria Harden and the South Ark Singers to perform music at the ceremony—Susanne Wache. 9. Requesting El Dorado High School junior ROTC members to provide a flag and pledge ceremony—Richard Jason Carter. 10. Reminding the president, vice president of learning, and vice president of student services to attend—Susanne Wache. 11. Requesting the college president provide a welcome speech, the vice president of learning a congratulation speech to the graduates, and the vice president of student services a congratulation speech to the Who’s Who winners—Susanne Wache. 12. Contacting Heath Waldrop to place the press release for the ceremony in the media and Charley Hankins to put the event information and announcement on the website’s scroll—Lynda Richardson. 13. Serving as master of ceremonies for the event—Susanne Wache. 14. Contacting Dr. Larry Moser about trades and skills winners for last minute certificate preparation—Susanne Wache 15. Providing closing remarks at the ceremony—Chairperson Susanne Wache. Following the assignment of key tasks for the recognition ceremony, the committee addressed the issue of changes in graduation. Since August graduates will no longer receive their mock diplomas at May commencement, they will also not be eligible for graduate of the academic year awards at the recognition ceremony. Thus, Valerie Lewis made the committee motion that students who graduate in August will be eligible to receive graduate of the academic year awards at the following year’s recognition ceremony, even though they may no longer be students at South Ark. For example, if a student graduates in August 2010, he or she would be eligible to receive the graduate of the academic year award in May 2011, even if he or she did not enroll in classes that academic year. Helen Griffith seconded the motion, and all five committee members present voted unanimously in favor of it. Chairperson Susanne Wache then adjourned the meeting at 10:05am, calling for the next meeting on Friday April 16 at 8:00am in room 212 of the west campus Whitfield Classroom Building.
