JOB PURPOSE:

Under the direction of the Registrar, the Assistant Registrar is responsible for the auditing of student degree plans, graduation processing, the verification of the accuracy of student academic records, and the implementation of the registration processes.

 

Essential Functions (Duties and Responsibilities):

Duties include obtaining and auditing student degree plans. Processing graduation applications and notifying advisors and students of graduation requirements and deficiencies. Evaluating student transfer credits and determining admissions eligibility. Counseling students and assisting students in reaching desired objectives. Ensuring proper maintenance of students’ electronic records and conducting audits for quality assurance. Assisting in the development of registration procedures and implementing processes. Posting grades and verifying academic standing and honors eligibility. Verifying accreditation of schools and universities. Performing data entry into complex databases, systems, and websites. Coordinates with college departments to gather data and prepare reports. Provides training to the Registrar staff by establishing work plans, timeframes and/or deadlines, providing general instructions, and reviewing the work performed to ensure technical accuracy and compliance with instructions or established policies and procedures. Preforms other duties as assigned.   

 

 

Qualifications and Competencies:

The individual should have a knowledge of computers and software application programs. They should also have knowledge of database management, basic accounting principles, and knowledge of registration processes. They should possess the ability to plan, organize and coordinate the activities, resources, and materials associated with the needs of the department or program. The ability to conduct research and perform basic quantitative quality assurance reviews and possess the ability to counsel students and families.

 

Required Education and Experience:

The formal education equivalent of an associate’s degree and two years of experience in higher education.

 

Preferred Education and Experience:

The formal education equivalent of an associate’s degree and two years of experience in higher education. Experience with student information systems is preferred.

 

Supervisory Responsibilities:

Support staff

 

Work Environment:

Private office setting within a larger department of offices

 

Physical Demands:

The individual must be able to sit for long periods of time. They must be able to utilize computer and office equipment. They must be able to lift 30 lbs

 

Travel Requirements:

Possible travel to training events 2 to 3 times per year
